WHO WE ARE

We are independent travel consultants with The Independent Travel Consultants, part of Wake Enterprises Limited (company number 14906112), Steepfield House, Waterloo Road, Talywain, Pontypool, NP4 7DX. Wake Enterprises Limited processes our bookings and is responsible for your personal information when you book with us.

WHAT WE COLLECT

When you enquire about a sailing, we collect:

· your name, email address and, if you give it, your phone number

· the sailing, number of adults, children's ages and cabin types you're interested in

· how you heard about us

· anything you choose to tell us, such as questions or needs

When you book, we also collect what the cruise line needs for every passenger, such as full names, dates of birth, postal address and passport details. Card payments are handled by secure third-party payment providers.

Our website also collects basic technical information, such as your IP address, browser and device, to keep the site working and secure.

HEALTH & DIETRY INFORMATION

If you tell us about allergies, dietary needs, medical needs or accessibility needs, that is sensitive information. We only use it to pass on to the cruise line so they can look after you, and only with your agreement.

WHY WE USE IT

· To reply to your enquiry and send your quote

· To make and manage your booking with the cruise line

· To add you to the WhatsApp group for your sailing, if you book and want to join

· To improve our website

· To email you about new sailings, only if you ticked the box to say yes. You can unsubscribe at any time from any email.

OUR LEGAL REASONS

We use your information because you have asked us to (to answer your enquiry and arrange your booking), because you have agreed to it (marketing emails and sharing health or dietary needs), or because the law requires us to keep booking records.

WHO WE SHARE IT WITH

We never sell your information. We only share it with:

· the cruise line, and any other supplier you book through us, to make your booking

· public authorities where the law requires it, for example passenger information some countries ask for before you arrive

· the services we use to run the business: GoHighLevel (our website, forms and email), Google Workspace (our email) and Cloudflare (website security)

Some of these services and suppliers store data outside the UK, including in the USA. Where they do, they use safeguards approved for UK data. Countries you travel to may not protect data to the same standard as the UK.

HOW WE KEEP IT SAFE

Payment details are encrypted, and only the people who need your information to run your booking can see it.

HOW LONG WE KEEP IT FOR

If you enquire but don't book, we keep your details for up to 2 years, then delete them. If you book, we keep booking records for 6 years after your sailing, as the law requires for financial records. Marketing emails stop as soon as you unsubscribe.

YOUR RIGHTS

You can ask us to:

· show you the information we hold about you

· correct anything that's wrong

· delete your information, unless we have to keep it by law

· give you a copy of your information in a format you can take elsewhere

· stop sending you marketing emails

Email [email protected] and we'll reply within one month.

COOKIES

Our website uses cookies so it works properly and so we can see how many people visit. You can turn cookies off in your browser settings, though parts of the site may not work as well.

OTHER WEBSITES

Our site links to other websites, such as the cruise line and our Facebook group. We're not responsible for how they handle your information, so please read their own policies.

COMPLAINTS

If you're unhappy with how we've handled your information, please tell us first and we'll try to put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
